Privacy Policy
Last updated: 6 October 2026
This policy explains how Pattern Systems Ltd (“Pattern Systems”, “we”, “us”, “our”) collects and uses your personal data when you visit patternsystems.ai or get in touch with us. We are the data controller for the information described here. If you have any questions, email us at [email protected].
What we collect
- When you book a call: your name, email address, business name and website, what you tell us about your business or what you want built, a rough monthly turnover band, and how you heard about us.
- When you use the chat or email us: what you type into the chat on this site, and the emails you send us.
- Information collected automatically: basic usage data through analytics cookies, such as your approximate location, device and browser type, and the pages you visit.
How we use it
We use your information to respond to enquiries, schedule, prepare for and follow up on calls, deliver our services, and understand and improve how the site is used. We do not sell your data, and we do not use it for automated decisions that have a legal effect on you.
Our AI chat and email assistant
The chat on this site, Pattern AI, is an AI assistant, not a person. What you type is sent through our own server to Anthropic, the company that provides the AI model (Claude), so it can write the reply. We keep a record of chat conversations so we can follow up and improve how we help. If you book a call after using the chat, the conversation is saved to your record with us. If you choose to email us from the chat, Haydn is sent a copy of it.
Emails sent to [email protected] are read and answered by Navi, our AI assistant, and Haydn sees them too. Please don’t share passwords, payment details or other sensitive information in the chat or by email.
Our lawful bases
Under UK GDPR we rely on your consent (for analytics and any marketing), our legitimate interests (to respond to you and run our business), and contract (where you engage us for services). You can withdraw consent at any time.
Cookies and analytics
We use Google Analytics to understand how visitors use the site. This sets cookies that collect usage data in an aggregated, largely anonymised form. You can control or block cookies through your browser settings, and where required we will ask for your consent before non-essential cookies are set.
Who we share it with
We share data only with the providers that help us run the site and our service, including Google (analytics, and Google Calendar and Google Meet for calls), Cal.com (call bookings), Anthropic (our AI chat and email assistant), and 20i (website hosting and email). Each processes data under its own terms and appropriate safeguards. We never sell your information.
International transfers
Some of these providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as the UK extension to the EU Standard Contractual Clauses.
How long we keep it
We keep your personal data only for as long as we need it for the purposes above, or as required by law, and then delete it.
Your rights
You have the right to access, correct, delete, or restrict the use of your personal data, to object to processing, to data portability, and to withdraw consent. To exercise any of these, email [email protected]. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
Changes
We may update this policy from time to time. The date at the top shows when it was last revised.
